1. Scope and accountability

This Privacy Policy explains how Melody Piano Studio collects, uses, discloses and safeguards personal information through Melody Piano Studio. Privacy questions may be sent to support@melodypianostudio.com.

2. Information we collect

Depending on the service, we may collect account and contact details; parent and student information; age group, level, goals and lesson needs; teacher applications, qualifications and verification records; schedules and attendance; messages; lesson notes, practice logs and repertoire; payment identifiers and transaction records; support tickets; reviews; consent records; and limited technical and security logs.

3. Why we use information

We use information to create accounts, match teachers, schedule and deliver lessons, process payments and payouts, issue receipts, communicate transactional updates, provide support, manage cancellations and credits, track educational progress, review teacher applications, prevent misuse, comply with law and improve the service.

4. Parents and children

A parent or guardian must provide required consent and control the account where the child cannot provide valid meaningful consent. We seek to collect only information reasonably needed for piano lessons and account administration. Marketing consent is separate from required service communications.

5. Service providers and disclosures

Information may be shared with the selected teacher, payment and payout providers such as Stripe, hosting and email providers, professional advisers, insurers, and authorities where legally required. Each recipient should receive only information reasonably necessary for its role. We do not sell student personal information.

6. Payments

Payment-card details are collected by the configured payment provider rather than intentionally stored in the application database. Melody stores transaction identifiers, amounts, status and receipts needed for account and financial records.

7. Consent and choices

Required information and optional information are identified in context. Marketing consent is optional and may be withdrawn. Transactional booking, payment, safety and account messages may still be sent where necessary to provide the requested service.

8. Retention and deletion

Records are retained only as reasonably required for lessons, financial reporting, disputes, safety, legal obligations and legitimate business needs. Retention periods should be documented by the business and applied by record type. Requests for access, correction or deletion are assessed subject to legal and operational exceptions.

9. Safeguards

The platform uses role-based access, password hashing, CSRF controls, session protections, protected storage, security headers, audit records and payment-provider separation. No system is perfectly secure. Users should use unique passwords and report suspected unauthorized access promptly.

10. International processing

Some providers may process information outside Ontario or Canada, where it can be subject to the laws of the receiving jurisdiction. The business should review provider locations and contractual safeguards before live launch.

11. Access, correction and complaints

Submit privacy requests to support@melodypianostudio.com. We may verify identity before providing access. Unresolved concerns may be directed to the appropriate privacy regulator.

12. Cookies and analytics

The launch package uses an essential session cookie and does not require advertising tracking. If analytics, behavioural advertising or additional cookies are added, this Policy and any consent controls must be updated before deployment.
